Follow the steps below and generating an invoice is as easy as flipping a coin!

Navigate to the Billing menu on the left panel of the screen.
On the "All Invoices" screen, click the Add Invoice option.

On the Create Invoice page, click on the search bar under Student/Lead and type out the student’s name. (You can also add a new student by clicking on the "Quick Add Student" button and entering their first and last name, email, and phone number. Then click "save" to add the student to the list)
The Invoice ID is auto-populated in a sequential format.
To add an Invoice Date, simply click on the Calendar icon and select the date you want the Invoice to be issued. Additionally, specify the Due Date by which the invoice must be paid.

Click on the Add Item option and search for the class/package or product you wish to invoice. Add as many items as you wish to your invoice.

Add a Description (optional) that includes more details about the class. Additionally, add the Validity of the class by clicking on the calendar icon. If you’ve already configured a validity for a package, this will auto-populate. (Validity is calculated from the date of invoice creation)
Lastly, you can add a Note or a Memo that will be displayed on the invoice.

Creating a New Class

Navigate to the Calendar menu on the left side of the screen.
Click anywhere on the calendar, or click on the Add new button on the right side of the screen and select Class.

| 💡 If you have multiple staff members, you can choose the calendar of a specific staff member to schedule the class.

Create a class

On the Details page, select a Subject from the drop-down menu.
The Title auto-populates by default from the subject name, you can always change the same.

You can either manually add a Description for the class or generate one instantly by clicking on the Magic description using the AI option. (Optional)

Choose a primary Staff member for the class from the drop-down menu or add more staff members by clicking the Additional Staff button.
Specify the class Date by clicking on the calendar icon. Then, select the Time for your class from the drop-down menu.

Choose a Time Zone that works best.

Click on the Save button.

Every Classcard account gives you a branded booking page – a micro-website that is accessible to the public and showcases your classes, packages, one-on-ones, and more.

To customize your booking URL:

Navigate to the Online Bookings menu on the left side of the screen, and click on Settings.
In the Booking URL section, type your desired name for the Booking page URL, and click on save.

Adding a Student

Classcard allows you to keep track of all the students enrolled in your institution. Add the details for a new student in a few easy steps.

There are 4 methods by which a student can be added:

Method 1: Adding manually (Individually)

Navigate to the People menu > Students > click Add student button on the top right side of your screen and then select Add individually.
Add student’s personal information such as their First and Last name, Email Id and Phone number.
You can also upload their Photo, add details such as their gender, nationality, birth date, etc and click save.

Add additional details such as the Address, Academic information, Guardian details, or Miscellaneous.

Creating a Package

You can use Packages to sell more than a single session of a subject at a time. Packages can include multiple sessions and/or a validity period.

To create a package:

Navigate to the **Catalog **main menu on the left side of the screen, and head to the **Packages **tab. On the right side of the screen, click on Add Package.
Add a Name for the package, a Photo (optional), the number of Sessions the package will consist of and the Price of your package.
Next, add a Subject from the drop-down options. Click on the Add subject button to include multiple subjects in the same package.

| Staff can create packages that are relevant to more than one subject, and students can then redeem these packages across the relevant subjects.

Adding a subject(s) can be done by following these easy steps:

||| 👉 To note: Before adding a subject, create a category to nest your subjects in.

a. Navigate to the **Catalog **main menu on the left side of the screen. b. Under the Subjects tab, on the top right of the screen, click on the Add New button. Then, click on New subject.

Add the Name of your subject. For example - A subject name could be something like Dance - Salsa, Graphic Designing - Sketch, IGCSE - Math.

You can then fill out the Description of the subject for more details (Optional). This information will be shown on your online booking page.
You can upload an Image that represents your class/session. This can help differentiate it from other classes/sessions.

Select a Category to nest your subject in. Create a category in case you haven't created one.
Select the Duration of the class in ‘minutes’. To add additional duration(s), click on the Add Duration option.
Set the desired Price (drop-in) you would like to charge for each subject duration.

| 👉 You can even create more than a single session of a subject by creating a package.
